JOB SUMMARY: The sales coordinator’s main responsibility is to assist in the execution of the division’s sales plans. The responsibilities will focus on the smooth operation of the sales offices and front line sales teams.  Working with the sales team daily, this position will be responsible for coordinating administrative functions to support the sales management team as well as the field sales team. 

ESSENTIAL DUTIES AND RESPONSIBILITIES:
  • Assist the sales leader, Regional Sales Managers, DUP, and sales team with daily sales functions:
    • Sales Reporting- compile and distribute all daily reports for sales, marketing and executive leadership.
    • Excel report generation daily/weekly.
    • Prepare Community Review presentations for underperforming communities as directed by sales management. 
    • Update contingency report daily to drive the House to Close/Guaranteed Buy Out process from the sales team.
    • Manage duplicity book and send notices to division team when errors occur.
    • Manage Doc-U-Sign for the sales contracts process and My KB Site for customers, to ensure all documents are up to date.
    • Manage the Homebuyer Survey process to ensure all surveys are coming in and entered before the end of the month.
    • Mystery shop program - order, track results, and assist RSMs in setting up training for the sales team on shops that are below standards.
    • Payroll – work with Division Office Manager to prepare and reconcile semi-monthly commissions and draw payouts, commission reassignments, prepare bonus and check requests. Research and help resolve commission and draw discrepancies. 
    • Track any awards that are given for sales/contests results and add “gross-ups” for payroll reporting.
    • Order and keep track of alarm permits and security for all sales offices and model homes.
    • Sales meetings - schedule, order food and assist with the preparation of any materials needed for the meeting.
    • Sales New Hires- schedule interviews, testing and prepare New Hire Training binders. 
    • Order Sales Department supplies.
    • Make copies of forecasts and business plans for division and corporate.
  • Assist in management of the lead generation system (C3) and help drive activity completion by sales representatives, daily.  
  • Reconcile and code expense reports and invoices for the Sales Department. Sets up vendors for payment reimbursement for the division. Collect and organize weekly bills/invoices and ship to NAPA for the division.
  • Manage the sales staffing calendar, RTOs and order KB Wear for the sales team. 
  • Perform the following MLS duties under management’s supervision: 
  • Input and submit listings to the MLS.
  • Input property and community information including photos and video tours provided by the marketing department. 
  • Regularly update and maintain accurate property status on MLS.  
EDUCATION/EXPERIENCE/MINIMUM REQUIREMENTS:

Education/Certifications/Licenses:  
  • Minimum of a high school education; Bachelor’s degree preferred. 
  • RE License required.
Experience:  
  • At least one year of direct sales or administrative experience.
Knowledge, Skills & Abilities:
  • Exceptional organizational skills
  • Strong people skills, including the capability to handle various personalities and develop professional relationships
  • Ability to work well with others.
  • Bias for action with the drive to complete projects and tasks to successful closure
  • Self-managed and able to complete tasks on a timeline.
  • Proven ability of being customer centric by seeking solutions from the customer’s perspective
  • Strong verbal & written communication 
  • Strong ability to work within a team-setting, inclusive of other’s ideas, and a willingness to cooperate.
  • Proficient in Microsoft applications, including Word, Excel, PowerPoint and Outlook
Work Requirements:
  • Work 8-hour days at division offices with flexibility for overtime when necessary
  • Conduct business in a professional and ethical manner to potential buyers, trade partners, and coworkers to reinforce goodwill and profitability for the company.
